Privacy notice
This notice explains what the Quartermaster platform keeps about the people who use it and the guests they invite, why, and who else handles it. Quartermaster Studio runs the platform. For a company's guest data, that company decides what's collected and why; we process it for them.
What we keep
- People who sign in: name, work email, role, which workspaces they belong to, and when they last signed in.
- Guests: what a workspace brings in or sources: name, title, company, work email, LinkedIn profile, registration status, and notes the host's team adds (intros, dietary needs, outcomes, follow-ups).
- Dinner debriefs: the host's notes from the post-dinner call, and what's drawn from them for follow-ups.
- Connection keys: the API keys and sign-in tokens a workspace connects, encrypted, never shown in the browser or written to logs.
- Session recordings: how signed-in people use the platform, to find and fix problems (see below).
How long we keep it
- Dietary notes are deleted automatically 30 days after the dinner.
- Dinner debriefs are kept permanently, and may be used as training data to improve the platform's AI features.
- Everything else is kept while the workspace exists, and deleted when its admin asks us to delete the workspace.
Where guest data never goes
- Slack alerts never include a guest's email, phone or dietary needs.
- Dietary needs are never sent to a CRM and are left out of exports unless an admin chooses to include them.
- We don't sell personal data, and we don't send email to guests: every message is drafted for, and sent by, a person.
Session recording
We use LogRocket to record signed-in sessions in the live platform, so we can see and fix problems. Recordings identify people by an internal ID, not their name or email. Everything typed, guest emails and phone numbers, dietary notes, intro notes and API keys are hidden, and traffic to Gmail, Luma, Clay and Attio isn't recorded.
Who else handles data
- Vercel (hosting) and Neon (database, in the United States).
- Inngest (background jobs; it handles record IDs, not guest details).
- Anthropic (Claude): AI features send the facts they need, such as a guest's title and company or a dinner's debrief.
- LogRocket (session recordings, redacted as above).
- Stripe (billing): the workspace's name, its admin's email, the number of users, and the card and billing address entered on Stripe's own pages. Card details never reach Quartermaster.
- Google and Microsoft (sign-in, and Gmail drafting for people who connect it).
- Services a workspace connects with its own accounts, such as Apollo, Clay, Luma, Slack and its CRM. Those services handle data under the workspace's agreement with them.
